Located near the Côte-des-Neiges metro station, this Canada-wide organization in scientific research field is looking for an administrative assistant who excels in event management.
In this role, you will provide administrative support to the entire team and organize and manage multiple events.

Responsibilities :
- Manage and update the agenda of the administration team members, including travel, conferences and appointments.
- Schedules meetings, prepares and writes agendas, meeting documents and minutes, and takes notes for drafting.
- Contribute to the general organization of the annual conference (selection of suppliers, contract management, logistics coordination, room reservations and travel planning for participants, etc.).
- Manage the team's incoming and outgoing mail, mailing lists in Outlook, mailings by courier and other types of correspondence.
- Draft communications, correspondence and other routine letters and forms.
- Participate in the preparation of PowerPoint slides, in French and English.
- Plan, design and maintain an outbound records and expense management system.
- Ensures the proper functioning of office equipment.
- Order and manage office supplies.
- Any other related duties.

Experience and skills required:
- Degree in secretarial or other relevant field
- Experience in a comparable administrative position
- Experience in event planning essential
- Bilingualism essential (English / French)
- Excellent agenda and event management capabilities
- Mastering the Office suite
